Job Title: Senior Procurement Manager
Department: Operations
Reports to: Director of Operations

The Senior Procurement Manager will be responsible for overseeing the procurement function across The Fertility Partners (TFP) network. This role ensures that procurement systems—particularly NetSuite—are maintained with accuracy and efficiency, while leading contract negotiations with major vendors. The position is critical to optimizing supply chain processes, controlling costs, and ensuring the organization secures high-quality goods and services to support clinical and operational excellence across all clinics.

Duties/Responsibilities

Procurement Operations & Systems

  • Oversee and maintain the procurement function within NetSuite, ensuring timely and accurate entry of purchase orders, contracts, and vendor data.

  • Develop and implement streamlined procurement workflows and reporting tools to enhance efficiency, visibility, and compliance.

  • Support integration of procurement practices across multiple clinics in the TFP network.

Vendor Management & Contract Negotiation

  • Lead vendor sourcing and RFP/RFQ processes to secure competitive pricing and service agreements.

  • Negotiate and manage contracts with major suppliers to ensure favorable terms, alignment with organizational needs, and compliance with legal requirements.

  • Monitor vendor performance through key metrics, addressing issues and driving continuous improvement.

Policy & Compliance

  • Establish and enforce procurement policies, procedures, and controls in alignment with Canadian standards and TFP objectives.

  • Ensure compliance with provincial regulations and applicable procurement standards.

  • Maintain proper documentation for audits and financial reviews.

Collaboration & Reporting

  • Partner with Operations, Finance, and Clinical leadership to forecast demand, manage inventory, and align procurement with budget objectives.

  • Provide regular updates to leadership on procurement KPIs, cost savings, and vendor performance.

  • Support capital planning and procurement strategy in partnership with senior leadership.

Required Skills/Abilities
  • Strong negotiation, financial acumen, and cost-analysis skills.

  • Excellent organizational, communication, and stakeholder management abilities.

  • Ability to work in a fast-paced, multi-site environment with cross-functional teams.

Education and Experience
  • Bachelor’s degree in Business, Commerce, Supply Chain Management, or related field.

  • Professional certification (e.g., SCMP, CPP, CPSM) is an asset.

  • Minimum 7+ years of procurement or supply chain experience.

  • Strong background in contract negotiation and vendor management.

  • Experience with NetSuite or equivalent ERP system.

  • Healthcare, pharmaceutical, or clinic/medical procurement experience preferred.
